Process of complaints.
If you feel comfortable; you might want to confront the individual and discussing your issue with them
Discussing concerns with Sensei before or after class.
Anonymously, filling a paper or online feedback form.
Booking a time to speak with Sensei, one on one, privately, if it is a personal matter.
If you can not resolve the issue within the dojo;
Head of Japan Karate Association Karate-Do Australia, Sensei Jim Wood Shihan.
After that it would be the Japan Karate Association in Japan.
Karate SA and if not receiving adequate satisfaction,
then the Australian Karate Federation.

JKA Adelaide Code-Of-Conduct
Code of Conduct
The code of conduct describes the expected behaviours of our Staff, Instructors, Volunteers, and Students. We have a full commitment to adherence to the law, and we will call out unacceptable behaviour.
Drawing inspiration from the Australian Karate Federation, Japan Karate Association Karate-Do Australia, and the Australian Sports Commission’s Code of Conduct of working with children.
Showing integrity and fairness, not showing bias based on sex, age, ability, culture, race, sexuality, class, religious and spiritual beliefs. This is shown through our conduct of using natural, non-bias words and allowing children to have space and asking before engaging with them.
Objectivity and equity. No one receives an unfair advantage, but also making sure that those who are disadvantaged receive the right attention to help them continuously.
Develop. We display this by making sure there are enough instructors and assistants in classes so that student, who need it, can have more attention.
We prefer to display sportsmanlike, community courteous behaviour. Showing respect to each other and ourselves. Distancing ourselves from disreputable persons and behaviours, while supporting those who are trying to better themselves.
Ensure that to the best of our ability that environments are safe, and wellness orientated. Focusing of positive mental environments and hazard free spaces. For children, this means a safe space for them to grow. We do not allow negativity towards other students and encourage our students to speak positively about themselves and others.
Physical contact with a person should be appropriate to the situation and the skill and ability of the person involved, and necessary to their educational development. Unnecessary interaction is discouraged between students and between Instructors.
Players
- Play fair and by the rules, respecting the traditions of Karate and the spirit of competition
- The rights and dignity of every person will be respected. Behaviour that abuses, provokes or harasses others will not be tolerated.
- The decision of coaches and officials are final and will be respected with the dignity the role deserves.
- Inappropriate conduct, including the use of offensive language and gestures that are demeaning to others, will not be tolerated.
- Care for the equipment, facilities, and resources at the Dojo
- The safety and wellbeing of other participants will be put before training, competition, and results
- To be associated with doping and match fixing or betting, is degrading to the individual and Karate and is inexcusable
- Drinking alcohol before or coming to the Dojo intoxicated is not acceptable.
- Offensive language, behaviour or unsavoury conduct is not acceptable in front of junior participants.
- The Dojo is a Smoke-Free environment, this includes spaces directly outside the Dojo.
Coaches
- Respect the rights and dignity of every person regardless of gender, race, ethnicity, age, culture, or sexual orientation
- A safe and inclusive environment is one in which every person is free from bigotry, discrimination, harassment, and harm
- Karate is for everyone, and every person has equal opportunity to participate regardless of age, ability, or experience. Modifications can be made to accommodate this, if thoughtfulness is used.
- Safety standards for each activity are appropriate to the age and abilities of every person
- When physical contact is required to correct a technique, the coach will advise the player of the physical contact and seek permission before making contact. Contact with the breast or genital area of a student is not acceptable at any time.
- Promote fair play and by the rules, respecting the traditions of Karate and the spirit of competition
- The safety and wellbeing of participants will be put before training, competition, and results. Follow the advice of a physician/medical officer in determining when an injured participant may return to or engage in training and competition. If unsure, get a medical opinion first, then train.
- Employ respectful and professional relationships with every person, especially to participants to which you owe a duty of care.
- Drinking alcohol before or coming to the Dojo intoxicated is not acceptable.
- Offensive language, behaviour or unsavoury conduct is not acceptable in front of junior participants or while in a professional capacity.
- The Dojo is a Smoke-Free environment, this includes spaces directly outside the Dojo.
- Ensure coaching qualifications are up-to-date and accredited by the Australian Karate Federation and Japan Karate Association
- Follow the guidelines and rules set down by the Australian Karate Federation and Japan Karate Association
- Call out and report to the Australian Karate Federation and Japan Karate Association authorities all acts of unethical behaviour, whether from players, officials, parents, or spectators
- Act as a role model for others, displaying high standards of good sporting behaviour, and embody the philosophies of the Dojo Kun. Seek perfection of character, be faithful and sincere, put maximum effort into everything you do, develop self-control, and show respect.
- Sticking to JKA Adelaide’s Child Safe Policy at all times and taking all reasonable steps to ensure the safety and protection of children and young people
- Treating everyone with respect and honesty (this includes staff, volunteers, students, children, young people and parents)
- Being a positive role model to children and young people in all your conduct with them
- Setting clear boundaries about appropriate behaviour between yourself and the children and young people – boundaries help everyone to understand their roles
- Listening and responding appropriately to the views and concerns of children and young people
- Ensuring another adult is always present or in sight when conducting one-to-one coaching, instruction or other activity
- Being alert to children and young people who are, or may be at risk of harm, and reporting this quickly to the Child Abuse Report Line (13 14 78)
- Responding quickly, fairly and transparently to any serious complaints made by a child, young person or their parent/guardian
- Encouraging children and young people to ‘have a say’ on issues that are important to them.
- Employees and volunteers must not:
- Develop any ‘special’ relationships with children and young people that could be seen as favouritism, such as the offering of gifts or special treatment
- Do things of a personal nature that a child or young person can do for themselves, such as toileting or changing clothes
- Discriminate against any child or young person because of age, gender, cultural background, religion, vulnerability, or sexuality.
Officials
- Respect the rights and dignity of every person regardless of gender, race, ethnicity, age, culture, or sexual orientation
- A safe and inclusive environment is one in which every person is free from bigotry, discrimination, harassment, and abuse
- Always ensure the safety and wellbeing of players above all else
- Maintain respectful and professional relationships with every person, especially to the players who may be vulnerable.
- Be objective, consistent, and transparent in your conduct and decision-making. Accept responsibility for your actions and rulings.
- Avoid situations that may question conflict of interest or integrity
- Withdraw verbal communication with coaches, officials, parents, and spectators during competition except in instances of medical emergencies or to call out acts of unethical behaviour
- At all times, act as a role model for others, displaying high standards of good sporting behaviour
- Offensive language, behaviour or unsavoury conduct is not acceptable in front of junior participants or while in a professional capacity.

- Call out and refer to Australian Karate Federation and Japan Karate Association all acts of unethical behaviour, whether from players, coaches, officials, parents, or spectators
- Participate in positive cheering that reinforces and encourages participant efforts, displaying good remodelling and sporting behaviour.
Director
- Respect the rights and dignity of every person regardless of gender, race, ethnicity, age, culture, or sexual orientation ensure that the organisation promotes a safe and inclusive environment
- Always protect the integrity of Karate by ensuring that the behaviour and conduct of every person is consistent with the laws of the game, the principles of fair play, the standards of safe and inclusive sport and the Dojo Kun
- Protect the safety and wellbeing of students, at all times, by ensuring that the appropriate regularly reviewed safeguard measures and policies are in place. That these measures are easily accessible and understood by every person, by both student and their family.
- Be impartial, consistent, and transparent in your conduct and decision-making. Accept responsibility for your actions and inaction.
- Make decisions in the best interests of your students, traditional karate, and the Dojo community.
- Promote a safe and inclusive environment, in which every person feels welcomed and is protected and free from discrimination, harassment, and abuse
- Ensure that all players, coaches, officials, parents, and spectators place wellbeing ahead of performance outcomes
- Create pathways that support players, coaches, and officials to improve their skill development. Be a leader in personal development by continually working on your own.
- Provide equal opportunities for all players, coaches, and officials to participate, regardless of gender, race, ethnicity, age, culture or sexual orientation
- At all times act as a role model for others, displaying high standards of good sporting behaviour
- Drinking alcohol before or coming to the Dojo intoxicated is not acceptable.
- Offensive language, behaviour or unsavoury conduct is not acceptable in front of junior participants.
- The Dojo is a Smoke-Free environment, this includes spaces directly outside the Dojo.
- Ensure that all members are made aware of their rights and responsibilities under the appropriate legislation including Code of Conduct, Child Safe Policy, and know the process by which to refer a complaint or breach of the Dojo’s policies.
- Sticking to JKA Adelaide’s Child Safe Policy at all times and taking all reasonable steps to ensure the safety and protection of children and young people
- Treating everyone with respect and honesty (this includes staff, volunteers, students, children, young people and parents)
- Being a positive role model to children and young people in all your conduct with them
- Setting clear boundaries about appropriate behaviour between yourself and the children and young people – boundaries help everyone to understand their roles
- Listening and responding appropriately to the views and concerns of children and young people
- Ensuring another adult is always present or in sight when conducting one-to-one coaching, instruction or other activity
- Being alert to children and young people who are, or may be at risk of harm, and reporting this quickly to the Child Abuse Report Line (13 14 78)
- Responding quickly, fairly and transparently to any serious complaints made by a child, young person or their parent/guardian
- Encouraging children and young people to ‘have a say’ on issues that are important to them.
- Employees and volunteers must not:
- Develop any ‘special’ relationships with children and young people that could be seen as favouritism, such as the offering of gifts or special treatment
- Do things of a personal nature that a child or young person can do for themselves, such as toileting or changing clothes
- Discriminate against any child or young person because of age, gender, cultural background, religion, vulnerability, or sexuality
- Lodge a child safe environment compliance statement whenever this policy is reviewed or every 5 years (whichever occurs first)
Any identified breach of these codes of conduct will be managed by the Director, if appropriate, otherwise dealt with a person in parallel or equal standing position. The consequences will vary according to the seriousness of the breach. Consequences may include:
- Suspension from teaching duties
- Direction to undertake child safe education
- Dismissal from employment
- Loss of JKA membership and denial of entry into future competitions, seminars, and events.
JKA Adelaide will immediately contact the Department of Human Services Screening Unit when it becomes aware of certain information regarding any person involved with JKA Adelaide, including any serious criminal offence, child protection information, or disciplinary or misconduct information. As in compliance with the Prohibited Persons Act s.19. All other concerns will be raised with the SA Police.

JKA Adelaide Sports Voucher Policy
The Sports Vouchers program is a Government of South Australia initiative administered by the Office for Recreation, Sport, and Racing. The program provides an opportunity for children from Reception to Year 9 to receive up to a $100 discount on sport fees. The purpose is to increase the number of children playing organised sport activities by reducing cost as a barrier.
Sport Providers access the secure Voucher Portal to redeem vouchers and receive reimbursement.
Eligible providers need to register for the Sports Vouchers Program. Registration is reviewed by the Office for Recreation, Sport and Racing and once confirmed, approved provider status is received, providers may start offering the Sports Vouchers discount as members register.
- Parents/guardians inform the approved provider that they wish to use a voucher for their child
- One voucher for each eligible child per calendar year.
- The Sports Voucher can only be redeemed at one provider per calendar year. If the total membership fee is less than the voucher amount ($100) then this is the maximum amount that the provider can claim (eg: if the registration fee is $80, the provider can only claim $80, and the child will forgo the remaining $20 of the voucher).
- If the total fees are less than the voucher amount, then this is the maximum that can be claimed (eg: if the fees are $80 then the provider can only claim $80, and the child will forgo the remaining $20 of the voucher). If there are additional fees for the child to participate (eg: uniform, equipment, and entry fees) these can be included in the total fee payable by the parent.
- Sports Voucher Policy:\Sports vouchers are filled by eligible applicants from the ages of 5 – 15 years This means in 2022, children aged 5 to 15 years old (inclusive) will be eligible for a Sports Voucher (these children will have a year of birth from 2007 to 2017)
- The provider must then collect all the child’s required details from the parent/guardian. The critical piece of information is the child’s eleven (11) digit Medicare number or Australian visa number.
- A voucher can be obtained by:
- asking parents/guardians to complete a voucher form (available on our website)
- or through the provider's online registration system
- After the parent/guardian has provided all the details necessary to submit a claim, the provider will reduce their fee. The parent/guardian will then pay the remaining balance (if any).
Providers are to submit claims using the Sports Vouchers portal.

Providers will need to:
- Collate and check all the information provided to them
- Enter the information into a Sports Vouchers claim template .csv file, downloadable through the Sports Vouchers portal
- Upload the completed claim spreadsheet to the Sports Vouchers portal
- Keep a copy of the information uploaded for the providers records
Reimbursement
Once a valid claim has been submitted, reviewed and authorised by the Sports Vouchers Team, the provider will be reimbursed direct
All claims are reviewed to determine validity. Random audits/surveys and investigations are also conducted. Providers found not complying with the Sports Vouchers Terms and Conditions may be suspended, pending a review.
The preferred method is to provide the discount on membership fees at the time of payment (eg: membership fees are $200, the parent will pay $100 and the provider will claim the remaining $100 from the Sports Vouchers team). Some providers are unable to offer an upfront discount at the time of registration (due to varying reasons) and in these instances, the parent pays the full membership fee and is refunded the $100 once the provider has received reimbursement from the Sports Vouchers team.
The Sports Vouchers team will investigate and communicate with you on issues that may hold up a claim. We may contact parents directly with random audits/surveys, date of birth or eligibility issues. These may be removed from the claim and your organisation will have to request full payment from the parent/guardian.
Sports Vouchers at JKA Adelaide
Parents can complete the voucher or JKAA (JKA Adelaide) may have an online registration system which electronically collects this information. You must advise the JKAA you wish to use a voucher so they can let you know how to provide them with the information. Take the voucher to JKAA to receive a discount on the fees when you register. JKAA have a copy of the sports voucher for you to fill in if you do not have your own.
For new Students: The Web special offers JKA Membership & Insurance and a Uniform and a syllabus folder along with classes. The sports voucher is a combined payment with the contribution from the new student.
For existing students: The sports voucher is mainly used to pay for JKA Membership and Insurance, which is compulsory for all JKAA members.
Any excess from the $100 can go towards merchandise, new uniform, in-house grading and event fees, class fees, or to offset a family members fee (same account). If no direction is given on how to use the excess of the $100 Sport Voucher, it will be deducted from your class fees at the end of the calendar year.
Sports Vouchers cannot be used for Private Training, Visiting Instructor Seminar and Events, State or National competition fees.
Purposefully misleading JKAA is an offence against the Dojo, and you will be asked to leave without a refund. This will also be disclosed to JKA Australia, they will decide the outcome of your National Membership.

The Website is owned and operated by Adelaide Academy of Karate-Do Australia ("AAKS") Also operating as JKA Adelaide (JKAA). The Website is offered subject to your acceptance without modification of all of the terms and conditions contained herein and all other operating rules, policies (including, without limitation, AAKS/ JKAA's Privacy Policy) and procedures that may be published from time to time on this Site by AAKS/ JKAA (collectively, the "Agreement"). Please read this Agreement carefully before accessing or using the Website. By accessing or using any part of the web site, you agree to become bound by the terms and conditions of this agreement. If you do not agree to all the terms and conditions of this agreement, then you may not access the Website or use any services. If these terms and conditions are considered an offer by AAKS/ JKAA, acceptance is expressly limited to these terms. The Website is available only to individuals who are at least 8 years old.
- Your jkaadelaide.com Account and Site. If you create a blog/site on the Website, you are responsible for maintaining the security of your account and blog, and you are fully responsible for all activities that occur under the account and any other actions taken in connection with the blog. Subscription payments will be charged on a pre-pay basis on the day you sign up for an Upgrade and will cover the use of that service for a monthly or annual subscription period as indicated. Payments are not refundable.
- Automatic Renewal. Unless you notify AAKS/ JKAA before the end of the applicable subscription period that you want to cancel a subscription, your subscription will automatically renew, and you authorize us to collect the then-applicable annual or monthly subscription fee for such subscription (as well as any taxes) using any credit card or other payment mechanism we have on record for you. Upgrades can be canceled at any time by submitting your request to AAKS/ JKAA in writing.
- Services.
- Fees; Payment. By signing up for a Services account you agree to pay AAKS/ JKAA the applicable setup fees and recurring fees. Applicable fees will be invoiced starting from the day your services are established and in advance of using such services. AAKS/ JKAA reserves the right to change the payment terms and fees upon thirty (30) days prior written notice to you. Services can be cancelled by you at any time on thirty (30) days written notice to AAKS/ JKAA.
- Support. If your service includes access to priority email support. "Email support" means the ability to make requests for technical support assistance by email at any time (with reasonable efforts by AAKS/ JKAA to respond within one business day) concerning the use of the VIP Services. "Priority" means that support takes priority over support for users of the standard or free jkaadelaide.com services. All support will be provided in accordance with AAKS/ JKAA standard services practices, procedures, and policies.
- Responsibility of Website Visitors. AAKS/ JKAA has not reviewed, and cannot review, all of the material, including computer software, posted to the Website, and cannot therefore be responsible for that material's content, use or effects. AAKS/ JKAA, jkaadelaide.com, the logo, and all other trademarks, service marks, graphics and logos used in connection with jkaadelaide.com, or the Website are trademarks or registered trademarks of AAKS/ JKAA or AAKS/ JKAA's licensors. Other trademarks, service marks, graphics and logos used in connection with the Website may be the trademarks of other third parties. Your use of the Website grants you no right or license to reproduce or otherwise use any AAKS/ JKAA or third-party trademarks.
- Advertisements. AAKS/ JKAA reserves the right to display advertisements on your blog unless you have purchased an ad-free account.

- General Representation and Warranty. You represent and warrant that (i) your use of the Website will be in strict accordance with the AAKS/ JKAA Privacy Policy, with this Agreement and with all applicable laws and regulations (including without limitation any local laws or regulations in your country, state, city, or other governmental area, regarding online conduct and acceptable content, and including all applicable laws regarding the transmission of technical data exported from the United States or the country in which you reside) and (ii) your use of the Website will not infringe or misappropriate the intellectual property rights of any third party.
- Indemnification. You agree to indemnify and hold harmless AAKS/ JKAA, its contractors, and its licensors, and their respective directors, officers, employees and agents from and against any and all claims and expenses, including attorneys' fees, arising out of your use of the Website, including but not limited to your violation of this Agreement.
- Miscellaneous. This Agreement constitutes the entire agreement between AAKS/ JKAA and you concerning the subject matter hereof, and they may only be modified by a written amendment signed by an authorised executive of AAKS/ JKAA, or by the posting by AAKS/ JKAA of a revised version. A waiver by either party of any term or condition of this Agreement or any breach thereof, in any one instance, will not waive such term or condition or any subsequent breach thereof. You may assign your rights under this Agreement to any party that consents to, and agrees to be bound by, its terms and conditions; AAKS/ JKAA may assign its rights under this Agreement without condition. This Agreement will be binding upon and will inure to the benefit of the parties, their successors and permitted assigns.
